Secretary Survival Guide

Correspondence
Upon receiving any correspondence read through it before the meeting so that you are able to answer any questions that may arise, or contact me in the office to clarify anything beforehand.

Competition Entry Forms
When you receive the entry forms please make a note of the entry closing date as well as the date of the competition. ALL entries have to be in by this date, if they are not then your club cannot take part in that competition. Notify your club members of the dates and the requirements of the competition. You should all have a copy of the National Activities Programme Rules which was sent out with the November issue of Members News.

Club Events
Keep us informed in the office, or let us know when we see you at your meetings, as to what events your club has planned, we can help in the circulating of this information to other clubs and counties.
Don’t forget that there is a diary in the office so that you can check to see if other clubs have events on the day that you are planning yours, contact the office and this will help to prevent the dates clashing.

Information Sharing
If any of you, or your club, details change then please let us know in the office, this will keep our database up to date and save time and frustration on everybody’s behalf in the long term.

Do you have access to E- Mail?
If so then this is an ideal way for you to keep in touch with the county office and circulate information, the address for the office is yfyfc@farmersweekly.net

The software on the office machine is Microsoft Office 2000 – Word, Excel, Access and Publisher.

Newsletters
Member's News - This is an information publication for members to members, as well as an opportunity for you to advertise your events and competitions to other clubs and members. Member’s News is published monthly and is sent out to all club secretaries to hand out to clubs members so you always know what’s going on in your County. If you have anything that other members need to know about send it to us at County Office.

And don’t forget to bear in mind next year’s Handbook – we always need interesting stories and photographs, which I am sure your Clubs packed calendar of events will produce in abundance!
